Dear Student-

*Please make sure you read this email in its entirety!!*

Thank you for your interest in starting a new club/organization on campus.
 Please take the time to fill out the brief questionnaire we have created
for Prospective New Student Groups.  This is the first step to becoming
recognized by the Office of Student Activities at Stony Brook University.
 After this application is submitted, it will be reviewed by a committee and
inform you whether or not to proceed to the next step.  Make sure that you
put as much information about your proposed club on the questionnaire.   A
committee has been setup to review your applications and approve the
formation of your club.     *This form must be EMAILED back to me by 5pm,
OCTOBER 15th 2009.* I will not be accepting the proposal as a hard copy;
please do not drop it off at my office.  Please note that in the event that
your proposal is rejected this semester, you will have an opportunity to
re-submit an application for the same club/organization during Spring 2010.
 *It would be in your best interest to submit the proposal after you attend
the first workshop so that I can answer any questions you may have. * We
will go over the proposal and the registration at the first workshop.



In addition to completing the New Student Group Proposal Form, *you must
register your club*.  If you have not already done so, please go to this
website and fill out the form *completely*:
http://studentaffairs.stonybrook.edu/sac/registration.shtml  *Make sure you
select 2009-10 school year!*

Make sure that when you are filling out the registration form that you have
all the needed information.  You will not be able to re-visit the form.
 Also, you must complete the form on a computer that is connected to a
printer so that you can print out the form prior to submitting it.  *This
form should then be handed in to SAC 218 will ALL the requested signatures
by 5pm, OCTOBER 15th 2009.*  The website fully explains the registration
form, but if you have any questions please email me.  Again, we will be
going over this during the first workshop so it may be beneficial to you to
wait until then to fill it out.

In addition, *ALL prospective clubs must attend THREE (3) New Club
Workshops.*  We will be offering each workshop twice, but your group will
only need to be at ONE (1) of the TWO (2) that we offer.  Only one
representative from the club is required to attend and it does not need to
be the same representative at each workshop.  These are the dates for the
workshops:

*Workshop 1*
Tuesday, 10/6,  5:30-6:30pm, SAC 311
Wednesday, 10/7, 1-2pm, SAC 304

*Workshop 2*
Tuesday, 10/13,  5:30-6:30pm, SAC 304
Wednesday, 10/14, 1-2pm, SAC 304

*Workshop 3*
Tuesday, 10/20,  5:30-6:30pm, SAC 311
Wednesday, 10/21, 1-2pm, SAC 304

You do not need to register for the workshops, just remember to attend them.

Each club is also required to create a constitution.  We will go over how to
write it during the first workshop as well but I have attached the Model
Constitution to this email for your reference.  This is also due by *OCTOBER
15th, 5pm* and must be submitted to me by email as I will not be accepting
hard copies of this document either.

We hope that before you continue on this process you have researched all the
clubs and organizations that are currently active on campus and that the new
club/organization that you wish to create will not have a mission that
overlaps with another already established Stony Brook club/organization.
